Quick start

You can be live with your business in minutes. Three steps get the agent working alongside you.

  1. Connect your inbox: one click to link Gmail or Outlook, and your calendar comes along for the ride.
  2. Give the agent information: point it at your contacts, deals, and documents so it can build a private working memory of your business.
  3. Let it run: the agent drafts replies, books meetings, and follows up. You approve, and nothing slips.

Connecting your inbox

BusinessOS connects to Gmail and Microsoft 365 (Outlook) over OAuth. You can connect more than one account, and revoke access at any time from your settings.

  1. Open Settings → Integrations and choose Connect for Gmail or Outlook.
  2. Sign in with the provider and approve access. Your calendar comes along automatically.
  3. Repeat for any other accounts; threads are grouped by contact and deal, so you stop tab-hunting.
  4. The agent watches new messages from then on and surfaces what actually needs you.

Contacts

Contacts, companies, and deals stay current on their own, pulled from email signatures, calendar invites, and meeting transcripts.

  1. Let records auto-enrich from your connected inbox and calendar, with no manual data entry.
  2. Track deals through pipeline stages with forecasts as conversations progress.
  3. Find every email and meeting already attached to the right contact or company.

Calendar

The agent proposes times, drafts the invite, and pulls relevant context from prior threads, so scheduling stops eating your day.

  1. Ask the agent to find a time; it checks across multiple calendars at once.
  2. Review the drafted invite, with relevant documents auto-attached from prior threads.
  3. Approve to send. Reschedules and cancellations are handled with a single click.

Tasks

Follow-ups land in your task board automatically, already sorted, deduped, and assigned to the right person.

  1. Watch tasks get created automatically from emails, meetings, and proposals.
  2. Let smart due dates be read from natural-language commitments ("early next week").
  3. Work them in whichever view fits: kanban, list, or calendar.

Proposals and Files

Write proposals from templates, send for signature, and track engagement. Your whole document library is searchable from every surface.

  1. Start a proposal from a template with merge fields and pricing tables.
  2. Send it for signature and track opens and views as notifications.
  3. Search across every document you have ingested, with semantic search from any surface.

AI where it matters

The agent is built into every surface, not bolted on as a separate panel. It reads across your inbox, contacts, calendar, and documents, and acts on any of it with your approval.

  1. Chain cross-surface actions in one ask: draft an email, then book a meeting, then file a task.
  2. Rely on its memory of your contacts, deals, and prior conversations for context.
  3. Check the full audit log of every action the agent takes.

Connect your own AI assistant

BusinessOS speaks MCP, so you can connect your own assistant (Claude, ChatGPT, or anything MCP-capable) and have it work in your workspace with exactly the access your own account has. It acts as you, in one organisation, within the permissions you approve.

  1. Open your assistant’s connector or MCP settings (for example, Claude or ChatGPT).
  2. Add a connector pointing at https://mcp.runbusinessos.com/mcp. You are sent to BusinessOS to sign in, so your assistant never sees your password.
  3. Choose which organisation the connection is for. It only ever reaches that one; connect each separately if you belong to several.
  4. Review what the assistant is asking to do and approve. It can now read and manage your work, but it cannot send email, invite people to meetings, or reach billing and team settings.
  5. Manage or disconnect any assistant at any time from Settings → Connections. Disconnecting takes effect immediately, on the assistant’s very next request.

Your team

Bring colleagues into your organisation so you share the same contacts, deals, inbox context, and workspace. Everyone gets their own sign-in.

  1. Open Settings → Team to see everyone in your organisation and any pending invitations.
  2. Choose Invite member, enter their email, and pick the role they should have.
  3. They receive an email invitation with a link to join. Invitations expire after 7 days.
  4. Resend or revoke a pending invitation, or remove a member, any time from the same screen.

Roles

Each member has one of three roles that decides what they can change. You set a role when you invite someone, and can change it later from Settings → Team.

  1. Owner: full control, managing billing, everyone’s roles, and the organisation itself.
  2. Admin: manages members and their day-to-day access, but not billing.
  3. Member: uses the full app, without access to team or billing settings.
  4. Change anyone’s role from the dropdown next to their name in Settings → Team (owners only).

Security and privacy

Your workspace is isolated per organization and encrypted at rest. The agent only reads what you have connected, and model providers do not train on your data.

  1. Connect and revoke providers over OAuth at any time from your settings.
  2. See a full audit log of every action taken in your workspace.
  3. Read the full Privacy Policy for details on data handling.

Two-factor authentication

Add a second step at sign-in using an authenticator app, so a stolen password is not enough to reach your workspace. Owners can require it for the whole organisation.

  1. Go to Settings → Security and choose Set up under Two-factor authentication.
  2. Scan the QR code with an authenticator app such as 1Password, Google Authenticator, or Authy, or enter the key by hand.
  3. Enter the 6-digit code to verify and enable it.
  4. Save your recovery codes somewhere safe; a recovery code gets you back in if you lose your device.
  5. Owners can turn on Require for everyone. There is a grace period before it takes effect, so nobody is locked out mid-day.
